How do I sync my Jane calendar with Google Calendar, Apple or Outlook?

Jane gives every staff member a private calendar feed: a link other calendars can subscribe to. Add your appointments feed to Google Calendar, Apple Calendar, Outlook or your booking page, and your Jane appointments show there and follow when you book, move or cancel them in Jane.

The feed goes one way, from Jane to the other calendar. Anything you add on the other side doesn't reach Jane.

1. Choose what the feed shows

Jane can show full client names and appointment notes in your feeds, and anyone who has the link can see them. Set this first:

  1. On your staff profile, click Edit/Settings under your name, then Settings.
  2. In Privacy and Sharing, set how client names appear to First Name, Last Initial and turn off Include Notes.
  3. Click Save.

If you change these after adding the feed, reset your link (see Good to know) so the new settings apply right away.

2. Copy your appointments feed in Jane

  1. Open your staff profile.
  2. Click Create calendar feeds.
  3. Jane shows two links: one for Appointments and one for Shifts. Click the copy icon next to Appointments.

Use Appointments, not Shifts. Shifts are the hours you work, so adding them would block exactly the times you want clients to book.

If you don't see Create calendar feeds, ask your clinic's account owner or a Full Access user.

3. Add it to your calendar

Paste the feed wherever you want your Jane sessions to show. Each app keeps its copy up to date on its own.

Google Calendar

  1. On a computer, open Google Calendar. Google only adds a feed on its website, not in the phone app.
  2. Next to Other calendars, click +, then From URL.
  3. Paste the feed, leave Make the calendar publicly accessible unticked, and click Add calendar.

Google can take several hours to show changes from a feed, and it can't be made to check sooner.

Apple Calendar

  • On a Mac: choose File > New Calendar Subscription, paste the feed and click Subscribe. Set Auto-refresh to Every 5 minutes, then click OK.
  • On an iPhone or iPad: go to Settings > Apps > Calendar > Calendar Accounts > Add Account > Other > Add Subscribed Calendar. Paste the feed in Server, then tap Next and Save.

Outlook

In Outlook on the web or Outlook.com, open Calendar, then Add calendar > Subscribe from web. Paste the feed, give it a name and click Import.

Promptd

If you take new clients on Promptd, add the feed to your page so clients can't book over your Jane sessions: open Openings, press Add next to Calendar link in the Calendars card, paste the feed and press Add. More in Add a calendar link.

What the feed shares

Upcoming appointments and your breaks, plus the past 30 days, with the name format and notes setting you chose above. Promptd, if you add the feed there, keeps only the start and end of each one.

Good to know

  • Reset your link if it was shared. In your staff profile, under your calendar addresses, click Reset Private URLs. The old link stops getting new appointments. Remove the old subscription from your other calendars and add the new link. On Promptd, press Manage next to the Jane link, then Replace link.
  • Arrived appointments. Once you mark an appointment Arrived, Jane stops sending it, so it can disappear from the other calendar.
  • Jane's Google Calendar Sync is the other direction. It brings your Google events into Jane as busy blocks. To get Jane appointments into another calendar, you need the feed above.
