How do I sync my SimplePractice calendar with Google Calendar, Apple or Outlook by link?
SimplePractice gives you a calendar link for your own schedule: a private address other calendars can subscribe to. Add it to Google Calendar, Apple Calendar, Outlook or your booking page, and your SimplePractice appointments show there and follow when you book, move or cancel them in SimplePractice.
The link goes one way, from SimplePractice to the other calendar. Anything you add on the other side doesn't reach SimplePractice.
Calendar sync is part of SimplePractice's Essential and Plus plans. On Starter, the section below isn't there.
1. Copy your link in SimplePractice
- Go to Settings > Scheduling and inquiries > Calendar.
- In Name display format, pick the most private option, like the client's initials, and click Save changes. Anyone who has the link can see them.
- Under Apple Calendar, click Copy link.
Use the link from Apple Calendar even if you don't use Apple. It is the only option that gives you a link: Google Calendar and Microsoft 365 connect by signing in instead. If you only need your appointments in Google Calendar or Outlook, signing in there is the simplest; use the link for everything else.
2. Add it to your calendar
Paste the link wherever you want your SimplePractice sessions to show. Each app keeps its copy up to date on its own.
Google Calendar
- On a computer, open Google Calendar. Google only adds a link on its website, not in the phone app.
- Next to Other calendars, click +, then From URL.
- Paste the link, leave Make the calendar publicly accessible unticked, and click Add calendar.
Google can take several hours to show changes from a link, and it can't be made to check sooner.
Apple Calendar
- On a Mac: choose File > New Calendar Subscription, paste the link and click Subscribe. Set Auto-refresh to Every 5 minutes, then click OK.
- On an iPhone or iPad: go to Settings > Apps > Calendar > Calendar Accounts > Add Account > Other > Add Subscribed Calendar. Paste the link in Server, then tap Next and Save.
Outlook
In Outlook on the web or Outlook.com, open Calendar, then Add calendar > Subscribe from web. Paste the link, give it a name and click Import.
Promptd
If you take new clients on Promptd, add the link to your page so clients can't book over your SimplePractice sessions: open Openings, press Add next to Calendar link in the Calendars card, paste the link and press Add. More in Add a calendar link.
What the link shares
Your own appointments and events from 30 days back onward, with client names in the format you chose. Telehealth appointments include their video link. Promptd, if you add the link there, keeps only the start and end of each one.
Keep the link private: anyone who has it can see your schedule and join links.
Good to know
- Out of office isn't included. SimplePractice leaves out-of-office blocks out of every outside calendar, so those times look free there. On Promptd, block them with Dates that differ.
- Group practices. The link has only your calendar, not your colleagues'. Each clinician copies their own link.
- No reset button. SimplePractice doesn't document a way to make a new link. If yours was shared by mistake, contact SimplePractice support.
